Event and Regulation Rules

1. Non-Refundable Entries
All entry fees are non-refundable and entries are non-transferable to other athletes. If an athlete/team is unable to attend an event he/she has the following options:

a. You can option to postpone your entry to a future event.  A written request with a $10 fee must be sent to the  Athlete Services office at least 60 days prior to the race in question.  Any request after this time or failure to show up for an event will forfeit your entry fees.

b. For Relay Teams Only: a teammate may be replaced at no charge. Athlete Services LLC must receive a written request with the new and old teammate's information no later than 14 days prior to event.

2. Bad Checks
In the case of a bounced check, Athlete Services LLC will charge a $20.00 fee. In addition, checks that are returned prior to the event must be redeemed with cash plus the processing fee. Patrons who do not cover bounced checks or who stop payment on checks will not be allowed to race future events.

3. Late Fees
Late fees are determined by the postmark date on the envelope. Late fees must be collected before the entry form can be processed. Forms with incorrect entry fees will be placed in the "Problem" file until the late fee is collected, or until race day registration, at which time they must pay the late fee to be entered.

4. Event Sellouts
In the event of a sell-out, all entries received after the closing date will be automatically returned within 10 business days. Waiting lists may be established for some events.

5. Entries
All entries will be proceed via Online Registration: NO checks or other means of payment are available. In the event the races do not sell out, there may be “day before” registration at the event site.

6. Race Policies

a. USAT rules are enforced. If present, USA Triathlon officials will handle protests, and their rulings are final. Please become familiar with the basics: http://www.usatriathlon.org/.

b. Race Numbers: Numbers MUST be visible at all times in order for athletes to be scored. You must have your race number on the front side of your body on the run section and finish line.

7. Athlete Conduct
All athletes are expected to conduct themselves in a sportsman-like way. Athlete Services LLC reserves the right to refuse future race entry and to disqualify anyone who conducts himself or herself in a way unbecoming of an athlete. Fighting, foul language, cheating and other un-sportsmanlike practices will not be tolerated.

8. Timing

a. The timing director and the USA Triathlon official will resolve all timing problems. If an official is not present, the timing director will have the final decision on all protests with the consultation of the race director if necessary.

b. For all triathlon events timing problems must be presented within the 15-minute protest period posted. Problems presented after the protest period will not be addressed. Note: Although electronic timing has become the modern choice for reliable results, there are instances when the technology fails and some data is lost. For this reason we cannot guarantee that 100% of the athletes entered will receive all of their timing data. Our promise to you is that we will do everything in our power to prevent such instances and produce a first class event.

c. Website posted results are final. Changes will not be made to the website results unless a written request is presented to the race director within 14 days post-race.

d. Wave Starts: Swimmers starting in the wrong wave will be disqualified.

e. Results will be posted online ASAP after the event.

9. Race course cancellations and acts of nature
Due to acts on the part of city officials, police orders and unexpected acts of nature, we reserve the right to make last minute changes, remove segments of the race course and sometimes cancel the entire event. Athlete Services Llc. needs to pay for all race supplies or services associated with that race, regardless of the outcome.

The Strawberry Fields Multisport Festival cannot accept the risk of a disaster for everyone. Each athlete needs to accept the risk of his or her entry fee. There will be NO REFUNDS or free entries to other future races. The money you paid is spent developing that race. We reserve the right to make such changes in order to insure your safety and or comply with city officials, county lifeguards and police orders.
